The paper trail isn't a document, it's a habit — every time something changes hands, a dated record says what, to whom, and what happens next. Teach the AI your format once by showing it two finished examples, then feed it raw notes forever. Few-shot beats explaining: the examples carry your format, your tone, and your rules better than a paragraph of instructions ever will.
